The Lesbian, Gay, Bisexual, Transgender, Queer and Ally (LGBTQA) Student Resource Center is seeking an Administrative Assistant 3 (Office Coordinator). The Coordinator serves as the first point of contact for the LGBTQA Student Resource Center, including students, administrators, faculty, staff, alumni, and the public while demonstrating a strong commitment to inclusionary practices which support diversity throughout the University. The Office Coordinator is responsible for providing student-centered and student-focused administrative support for the varied programs and services offered to the University community. The Coordinator works with the Director and Center staff to establish work processes and procedures consistent with University policies. The Coordinator is responsible for managing daily accounting activities, including the monitoring and reconciling of budgets; preparing, developing, and running financial reports; and the processing of all purchases. This position assists staff with proper procedures for purchasing, inclusive of procurement and Purchasing Card reconciliation. The Coordinator will process employee travel and reimbursement requests and is responsible for handling all new hire paperwork, as well as work study, wage, and staff payroll. The Coordinator maintains files and databases and assists with proofreading documents, arranging meetings, coordinating travel related to Center programming and other Center/program support functions. The Office Coordinator assists with the planning and coordination of moderately complex projects; prepare agendas, takes and composes minutes for various meetings/committees; manages the Center library; maintains web pages; develops, designs, and produces publications in accordance with established University policies/regulations; and maintains the weekly Rainbow listserv/newsletter. This position holds primary responsibility in coordinating back-up support as needed for the Center’s physical space and assists in the supervision and training of student interns and other assigned support staff. On-going duties include providing assistance on the use of computer software; handling of departmental mail; ordering of supplies and maintaining office/programming inventory. The Coordinator will schedule equipment repair, maintenance, renovations, and work orders for the Center as needed. Normal work hours are Monday through Friday, 8:00 a.m. – 5:00 p.m. with occasional weekends or evenings necessary. The LGBTQA Student Resource Center is a unit within Student Affairs that provides education, outreach, advocacy, and support to the Penn State campus community. The LGBTQA SRC is physically located in Boucke Building in the heart of the University Park campus. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Ability to exercise discretion, maintain confidentiality, make independent and sound decisions and utilize good judgement desired. Must be proficient in Microsoft Office suite, including Word and Excel. A strong working knowledge of IBIS, FIT, ERS, and eSteward is strongly preferred. Excellent written and oral communication skills are required. Outstanding interpersonal and organizational skills needed; Customer service and attention to detail is critical. Must be self-motivated and able to work independently and as well as in a team environment. Required to take initiative and have flexibility to adapt to shifting workload demands.
